    Administration Assistant (JB4759)

    Minimum Requirements:

    • Minimum Grade 12 (Matric)
    • Diploma or certification in administration management or a related field (advantageous)
    • At least 5 years of proven secretarial and administrative experience
    • Experience in customer liaison
    • Proficient in Microsoft Outlook, Word, Excel, and Sage Pastel (or similar software)
    • Excellent communication skills (both written and verbal)
    • Strong organizational skills and attention to detail
    • Ability to think critically and solve problems
    • Self-motivated, independent, and self-aware

    Duties and Responsibilities:

    • Serve as the central point of contact, ensuring smooth administrative processes within business units
    • Coordinate and manage appointments for the business unit management
    • Support the Managing Director and Operations Manager with projects, presentations, and document preparation
    • Handle appointment scheduling, phone calls, visitor information, and meeting organization for management
    • Maintain proper archiving of documentation at the sub-company level
    • Prepare written statements, meeting minutes, and other documents as requested by management
    • Track current jobs, manage staff assignments, vehicle tracking, and staff hours in coordination with the Operations Manager
    • Manage project documentation, including opening and closing projects and tracking payments and financials
    • Foster a supportive and collaborative environment with internal and external partners
    • Assist with everyday commercial tasks, such as documentation, drafting letters, and compiling information
    • Liaise with the company bookkeeper and provide necessary information or assistance
    • Organize courier shipments of documents, samples, and materials to external stakeholders
